Manage Meal Program orders in Admin portal

Learn how to use self-service features in your Meal Program admin portal to update schedules, change restaurants, handle office closures, and adjust subsidies.

How to cancel a delivery

You can cancel a meal delivery right in the platform up to 24 hours before the delivery day.

From weekly calendar view

  1. Go to Schedule and select weekly view

  2. Select the day, location, and meal type (breakfast, lunch, or dinner) you want to cancel, then click the more options icon

  3. Choose Cancel Meal Program

  4. Select your reason for canceling and click Submit

From monthly calendar view

  1. Go to Schedule and select monthly view

  2. Select the delivery day you want to cancel, then choose the location on the right

  3. Click Cancel Meal Program

  4. Choose the meal or meals to cancel, select your reason, and click Submit

How to flag office closures

Mark holidays or company closures in advance so deliveries pause automatically.

  1. Go to the Settings tab

  2. Select the holidays or dates your office will be closed and switch the toggle on

    1. Toggled to the right, you are indicating you are closed; to the left, you are indicating your office is open for meal delivery.

    2. By default, major holidays are marked as closed, with the toggle switched on. If your offices remain open, and you’d like Meal Program delivered, simply switch the toggle off. See a list of the holidays where office closures are automatically applied here.

Note: Changes made less than 48 hours before a holiday apply starting the following year.

How to request a restaurant change

Swap out a restaurant in your lineup whenever you want to try something new.

  1. Go to the Schedule tab and select the day, location, and meal you want to adjust

  2. Choose the restaurants you want removed and click Continue

  3. Select a reason for the change and click Submit request

Your manager will follow up within 24 to 48 hours to discuss the request (note: typically dietary restrictions or budget constraints are eligible for swaps)

How to request an ad-hoc meal for unexpected guests

Add a one-off meal delivery outside your regular schedule for last-minute needs or guests.

  1. Go to the Schedule tab, select the day you want to add, and click Add a meal

  2. Select the meal type and enter your estimated headcount

  3. Review the details and submit your request

Set up an additional meal plan

  1. Navigate to the “Meal Plans” tab in your Meal Program admin portal.

  2. Click “add meal plan,” located at the top-right corner of the page. Here you’ll be prompted to add key details, like your meal plan name, location, and subsidy type.

  3. Enter the subsidy amount whether it’s daily, weekly, per meal, or percentage.

  4. Once you’ve set your preferences, click “save.” (Please note, new meal plans will appear in the dropdown once saved, but they don’t apply to employees until individually assigned in the “Employees” tab.)

How to adjust subsidies or add a meal plan

Update your company's meal subsidies or set up brand new plans as your budget or team grows.

Adjust an existing subsidy

  1. Go to the Meal Plans tab

  2. Click edit next to the plan you want to change under the Actions column

  3. Enter the new subsidy amount (daily, weekly, per meal, or percentage)

  4. Click save

Set up a new meal plan

  1. Go to the Meal Plans tab and click add meal plan

  2. Enter the plan details, including name, location, and subsidy type

  3. Enter the subsidy amount and click save

  4. Assign the new plan to employees individually under the Employees tab

View who placed an order

  • To see which employees have placed an order, visit the helpful Orders page or within the uupper right corner of the Employees Orders tab.

How order minimums work

  • We guarantee restaurants a minimum dollar amount for every delivery. If your total order doesn't meet that minimum, you’ll still be charged the full minimum amount.

  • This also applies if you cancel an order within 24 hours of the delivery time.

  • The details of your acccount's minimum commitment can be viewed on the Orders tab.

Ordering windows and cutoff times

  • Employees can start placing orders 6 days before the delivery date. They have until the specific restaurant cutoff time to place or change their order.

  • While many restaurants have a cutoff time of 2.5 hours before delivery, these times vary.

    • Employees can view each restaurant's cut off time in the app.

    • Admins can view the exact cutoff time for each restaurant on the Schedule page of their Admin Portal.
