Learn how Guided Enterprise Account Onboarding helps admins set up team members, addresses, payment, spend policies, and checkout fields.

👤 Who is this for? New Enterprise Accounts; Existing Enterprise Accounts Without a First Order

When you open your new Enterprise account, you'll see a setup checklist. This checklist walks you through five simple tasks in a fixed order to help get ordering up and running for your organization. The guided setup checklist appears for:

  • New Enterprise accounts created after launch

  • Existing Enterprise accounts that haven't placed an order yet

The 5 easy setup steps

1. Invite your team members: Help your organization maximize the benefits of ezCater by adding your team.

  • Enter work email addresses to invite team members as orderers

  • Invites don't grant access to the Enterprise Portal, so your admin controls stay secure

  • Select Send invitations to complete the step, or click Skip for now to move on

2. Add a shared delivery address: Speed up ordering and prevent delivery issues for your team.

  • Enter your street address, optional suite/floor, city, state, ZIP code, an address name (like "BOS Office"), and delivery instructions

  • Saving an address right away helps display the most accurate local search results

3. Add a shared credit card: Streamline expense management and easily track everyone's spend.

  • Enter the card number, expiration date, CVV, billing ZIP, and an optional nickname

  • Choose whether everyone on the account or specific team members can use the card

  • If you haven't invited team members yet, use the inline link to head back to step 1

4. Set a spending policy: Keep your team within budget with levels of enforcement you control.

  • Choose a limit type: per-person, per-order, or monthly

  • Set your limit amount and pick an enforcement level: Show warning (alerts the user but allows the order) or Block order (stops checkout)

  • Apply rules to everyone or specific team members

5. Create a custom checkout field: Collect information about your team's orders for internal reporting.

  • Name your field (like "Cost center"), choose text entry or a dropdown menu, and toggle whether it's required

  • This field appears during checkout on all team orders so finance teams get tracking details automatically

Request advanced features

Below the checklist, you'll find quick prompts for options that require extra support.

Select your response to submit your request. Example:

  • Is your company tax exempt? Select Yes and our team will reach out by email to get your tax exemption on file.

  • Need to set up an integration? Access Single Sign-On, SAP Concur, and Procurement PunchOut setups directly on the integrations page.

Note: Responding removes the prompt from your setup page. These prompts are only visible during onboarding and won't reappear on your main dashboard once an order is placed.

FAQs

Do I have to finish all five steps before I can order?

  • No. Nothing on the list is required to place an order. You can skip any task and come back to it whenever you're ready.

Why did my checklist disappear?

  • Once your account places its first order, the checklist retires and your home page transitions to the standard admin dashboard. You can still manage all these settings anytime inside your portal.

We've had an account for years and never saw this checklist. Why?

  • Guided setup is designed specifically for new accounts and accounts without order history. Accounts with existing orders go straight to the standard account home.
